Behavioral Objectives: By the end of the lesson, the student will be able to :
i. Define a Clerical Staff
ii. Identify and list the grades of clerical staff
iii. State the functions of clerical staff
Content:
Who is the clerical Staff?
A clerical Staff is a person who carries out routine activities in the office. The clerical staff is under the supervision of an office manager. He performs activities such as filing of documents, handling of Mail, and keeping records. A clerical Staff is referred to as a clerk.
Grade of clerks
There are basically three grades of clerks :
1. Junior Clerks: They are the least qualified amongst the clerks. A junior clerk is in charge of routine activities such as posting letters, filing documents, etc. He can also assist his superiors in carrying out more important tasks in the civil services. A junior clerk is placed on grade level three (GL. 3)
2. Clerical Assistant: This type of clerk is more qualified and has more responsibilities than the junior clerk. He has passed a few more subjects in his School Certificate Examination than the Junior clerk. In the public service sector, he is on grade level four (GL. 4)
3. Senior Clerk: This is the most superior of the clerks. He has both educational qualifications and job experience to carry out his duties. The Senior clerk relieves the manager in the general administration of the office. He supervises the junior Clerks and gives them duties to carry out. In the public sector, he is on grade level five (GL. 5)
Functions of Clerks
1. Processing document
2. Filing of records
3. Routine calculations
4. Dispatching mails
5. Collection of incoming mail
6. Postal Activities
7. Keeping records
Presentation Steps :
Step 1: The teacher revises the previous lesson with the students
Step 2: He/she introduces the new topic by writing it on the board and asking the students “Who is a clerical Staff?”
Step 3: He/she lists the grades of clerical staff and explains them.
Step 4: The teacher then states the functions of a clerical staff.
